How far in advance do I need to plan a destination wedding?

Generally speaking, the more time you have, the better. Ideally you should plan six months to a year in advance because then the venues (here) and vendors you choose are more likely to be available. Legally, in Malta, all documentation needs to be sent to the Marriage Registry no less than six weeks before the ceremony (explained here).

Invitations to traditional weddings are usually sent 4-6 weeks before the event. For a destination wedding, more lead time is helpful, such as 8-12 weeks. Guests might want to ask for vacation time from work, and they’ll need to book flights, which generally are less pricey if reserved further in advance. Another option is to send Save the Date notes to all your guests so they can begin planning for the event prior to receiving the formal invitation.

As the couple getting married, are we expected to cover any of our guests’ travel or accommodation costs?

No, the guests are responsible for their own personal expenses related to the wedding. However, you can help ease the financial costs by arranging group rates for hotel accommodations, transportation from the airport to the hotel and any group activities such as sightseeing excursions.

What is the best way for me to provide my guests with information like hotel accommodations, airport transportation, activity options and more?

For a destination wedding you can expect your guests to have lots of questions, much more than they’d have for a traditional wedding. After all, they’re not only attending a wedding, they’re also planning a trip.

A personal wedding website is a fun, easy way to provide your guests with all the information they’ll need. Don’t worry; you don’t need to have graphic design and programming skills. If you work with a wedding planner, she probably has a user-friendly template that will enable you to get your personal website up and running with ease.

Keep in mind that in addition to logistical details like hotel accommodations and airport transportation, you can also use your personal website to provide information like the story of how you and your fiancé met, background on your choice of destination, links to your wedding registries, photos of the two of you, bridal shower pictures, and so much more.

A personal website is the perfect way to share everything about you and your wedding. Your guests can follow the build-up to your big day and afterwards view any pictures you post. For guests who can't attend in person, the website will help them to feel they are still a part of the celebration.

Beyond the wedding ceremony and reception, should I plan anything else for my guests?

Of course, that’s up to you. You can organize some extra activities around your wedding that will keep your guests occupied and make your occasion even more memorable for them. Here are a few ideas:

  • Plan a sightseeing tour of the area.
  • Visit someplace special together such as a local winery.
  • Charter a boat for a sunset cruise and cocktails.
  • Arrange a casual get together at a local bar.
  • Plan a brunch or lunch at a nearby restaurant for the day after the wedding.

Prior to the wedding, is there anything I should do to welcome my guests?

You’re not obligated to do something, but welcoming your guests would probably be much appreciated. Consider placing a welcome letter and small gift in each of your guests’ hotel rooms prior to their arrival. You can coordinate this with the hotel.

In the welcome letter tell your guests how grateful you are that they traveled to this destination to celebrate your wedding and also inform them of any special gatherings and activities you’ve planned.
